Rent-by-the-room software: house hacking costs and fit
One house can contain several independent rental workflows. Choose software by active leases, shared bills and turnover—not the number of roofs you own.

Explore room-by-room workflows
Start with the tenancy structure
Before choosing software, list whether residents share one lease or have separate room leases. Then check how the product handles individual move-in dates, deposits, overdue balances and shared expenses. A whole-home landlord and a rent-by-the-room operator may need different workflows even when both own just one house.
Where RentCaddie may fit
RentCaddie supports separate room leases, rent balances and deposits on every plan. Shared utility allocation by occupancy-days, short-stay proration and roommate rent splitting require Pro or Portfolio; they are not included in Starter. That makes it worth evaluating for landlords managing separate room tenancies. This is a research-based overview, not a hands-on product test.
Ask for a demonstration using your own scenario: four residents, different move-in dates, one vacancy and a utility bill covering the entire month. Confirm which plan supports each step, and verify how corrections and move-outs affect balances.
Compare the full cost
Count active leases, not only buildings. Ask how vacant rooms, renewals and replacement residents affect the bill. Compare the subscription plus payment processing, screening, optional services and any migration costs you expect to incur.
RentCaddie's team quoted monthly subscriptions of $32 for Starter with up to five active leases, $236 for Pro with up to 25 active leases and then $4 per additional lease per month, and $596 for Portfolio with unlimited active leases on October 9, 2026. Vacant rooms do not count as active leases. These are subscription figures, not all-in operating costs. Confirm current pricing and plan limits directly before buying. Annual figures are omitted because the vendor confirmed a temporary difference between the pricing page and checkout. Verify the checkout total before choosing annual billing.
Introductory period and usage fees
The vendor confirmed that the introductory period is free until the first online rent payment is collected, up to 60 days, with Pro features for up to 25 active leases. No card is required. The first online rent payment starts a seven-day period to choose a plan; manually recording cash or Zelle, or collecting only a deposit, does not trigger it. If no rent is collected, the free period ends at day 60. There is no automatic charge.
Payment processing is separate: the vendor quotes cards at 2.9% plus $0.30 per transaction and ACH at 0.8%, capped at $5, with no RentCaddie markup. Residents pay by default, but the landlord can choose who pays. For illustration, processing a $1,000 payment would cost $29.30 by card or $5 by ACH, before any other applicable charges.
RentCaddie does not currently sell screening reports. Applications, consent and references are supported; screening purchased elsewhere costs extra. The vendor confirms free migration of houses, residents, leases and opening balances, plus full-record download.
Four questions before switching
- Can each room have its own lease, deposit and payment history?
- How are shared utility bills allocated when someone moves in or out mid-month?
- Which payment and screening fees are paid by the landlord, and which by residents?
- Can you export lease, balance and transaction records if you later switch products?
If you rent each property under a single lease, compare general landlord tools before paying for features you will not use. A specialist workflow is useful only when it solves a recurring problem in your portfolio.
What the plan boundary means in practice
| Illustrative scenario | Subscription to evaluate | Why |
|---|---|---|
| 4 active room leases; separate balances only | $32/month Starter | Within five-lease limit |
| 4 active leases; shared utility allocation | $236/month Pro | Workflow requires higher tier despite small portfolio |
| 30 active leases; Pro workflow | $256/month Pro | 236 + (30 − 25) × 4 |
| 115 active leases | $596/month Pro or Portfolio | Pro arithmetic reaches Portfolio price; compare full plan terms |
These are calculations from vendor-confirmed monthly terms, excluding processing and third-party services. They are not quotes. A cheap per-house price can be misleading when a single house requires a higher plan. Ask the vendor to demonstrate your hardest monthly task before switching.
House hacking: keep the comparison narrow
Living in one bedroom does not itself create a software requirement. The useful questions are whether rooms have separate agreements, whether residents move independently, and whether utility allocation is recurrent. Do not buy a specialist subscription merely because you describe the property as a house hack. For a single joint lease, compare the cost and simplicity of Innago and other general landlord tools.
Through our approved referral link, RentCaddie offers the first paid month free. That is distinct from the introductory period described above; confirm the offer at signup. We receive no commission for a free month.
